I recently visited the Zone 5 Chennai Corporation Office in Royapuram for two important services related to Chennai Corporation birth certificate and Chennai Corporation death certificate records:
- Baby name inclusion in a birth certificate
- Spelling mistake correction in a death certificate
I am sharing my complete experience here so it may help others visiting GCC offices for similar services.
Chennai Corporation Birth Certificate Baby Name Inclusion – My Experience
My baby was born at the Government Children’s Hospital, Egmore. During discharge, the hospital staff gave us a baby name inclusion form. They informed us that after the baby naming ceremony, we must fill out the form and submit it to the hospital within one month.
If this process is completed within one month, officials will update the baby’s name in the Chennai Corporation birth certificate, and we can later download the updated certificate from the GCC website.
However, if parents fail to submit the form within one month, they must visit the concerned Chennai Corporation zonal office and apply separately for Chennai Corporation birth certificate baby name inclusion.
Important Information About Royapuram Corporation Office
Chennai Corporation birth certificate and Chennai Corporation death certificate services for the following government hospitals are handled at the Royapuram Corporation Office:
- Government Children’s Hospital, Egmore
- Rajiv Gandhi Government General Hospital
- Omandurar Government Multispeciality Hospital
Before visiting, make sure to check your correct zonal office. You can usually find the zonal office details at the bottom-right corner of the birth or death certificate.
Best Time to Visit the Office
I visited the office around 4 PM, and there was very little crowd. I could complete the process easily without waiting much.
From my experience, visiting after 3 PM is better if you want to avoid long queues for Chennai Corporation birth certificate or Chennai Corporation death certificate services.
Birth & Death Certificate Section
There is a separate section for Chennai Corporation birth certificate and Chennai Corporation death certificate services inside the corporation office.
In some corporation offices, officials provide a fresh baby name inclusion form directly. However, at the Royapuram office, they gave me a sample form and asked me to take a xerox copy before filling and submitting it.
Details Required in Baby Name Inclusion Form
The form requires the following details:
- Baby date of birth
- Birth place or hospital name
- House address
- Father’s name
- Mother’s name
- Child name
- Parent mobile number
- Signature of father or mother
Parents must write all names carefully and clearly.
Common Mistakes Parents Should Avoid
Many people make spelling mistakes while filling the Chennai Corporation birth certificate form. Once the certificate is generated with incorrect spelling, the correction process becomes separate and time-consuming.
Some common mistakes include:
- Incorrect spelling in child name
- Wrong father or mother name spelling
- Forgetting to add the baby’s initial
I personally saw parents visiting the office again just to add the baby’s initial because they forgot to mention it earlier.
This can later create issues while applying for:
- Aadhaar Card
- School records
- Passport
- Other government certificates
So always double-check all spellings and initials before submission.
Documents Required for Chennai Corporation Birth Certificate Name Inclusion
After filling the form, we submitted:
- Father Aadhaar xerox – 1 copy
- Mother Aadhaar xerox – 1 copy
- Chennai Corporation birth certificate copy downloaded from GCC website
In the downloaded birth certificate, the baby name field was blank. We had to manually write the baby name in that space before submission.
After verifying all documents, the officer stamped the form and gave us a small acknowledgement document for submission confirmation.
The officer informed us that the Chennai Corporation birth certificate update process may take around one month, after which we can download the updated birth certificate from the GCC website.
Chennai Corporation Death Certificate Spelling Correction – My Experience
In most cases, Chennai Corporation death certificate details are entered by hospital authorities. However, spelling mistakes sometimes happen in:
- Deceased person name
- Spouse name
- Father name
In my case, there was a small spelling mistake in the deceased person’s wife’s name.
Since she was elderly, her son visited the office for correction.
Documents Asked by Officer
The officer explained that Chennai Corporation death certificate corrections become easier if we provide supporting ID proofs containing both names.
The officer suggested documents like:
- Birth certificate
- Aadhaar card
- Ration card
- Passport
In our case, there was no birth certificate available. However, we submitted:
- Passport containing mother and father names
- Ration card containing both spouse names
- Chennai Corporation death certificate copy
- Children’s ID proofs
The officer accepted these documents as supporting proof.
Written Request Letter Process
We were asked to submit a written request letter for the Chennai Corporation death certificate correction.
At the Royapuram office, there were 3–4 letter-writing service persons available nearby. We simply explained the issue and provided the documents.
Within 5 minutes, they prepared the request letter and charged ₹50 for the service.
After submitting all documents and the written request letter, the officer verified everything, stamped the documents, and gave us a sealed acknowledgement on the death certificate xerox copy.
The Chennai Corporation death certificate correction process usually takes around 2 to 4 weeks.
Crowd Experience
We visited around 12 PM during peak hours, and there was noticeable crowd inside the office.
Compared to this, my evening visit around 4 PM was much smoother and less crowded.

The Royapuram Corporation Office has:
- Bike parking facility
- Restroom facility
Important Tips Before Visiting Chennai Corporation Office
- Office working hours are usually 10 AM to 5 PM
- Lunch break is from 1 PM to 2 PM
- Visit after 3 PM for less crowd
- Always carry a pen
- Carry original IDs and xerox copies
- Take all related certificates and supporting documents
- Double-check spellings before submitting forms
Charges
There are no government charges for:
- Chennai Corporation birth certificate baby name inclusion
- Chennai Corporation death certificate spelling correction
However, you may spend small amounts for xerox copies or request letter writing services.
